AUXDATAII REPORTS

Fri, 09 Feb 24   Posted by: SO-IS

With the rolling out of AUXDATAII since March 2020, Auxiliary members can now log in USCG Community and look at their records, hours, past & current offices, awards, orders, etc.

Division 6 members please follow exactly these steps to view your total hours of mission activity, miles and expenses of the year:

1/ Log in USCG Community, if you have never logged in, please contact National Help Desk to obtain the 1st login password

2/ Along the top menu, click on the drop-down of "More", then choose "Reports"

3/ on the Left panel, choose "All Folders"

4/ on the Right box, choose "All Auxiliary Access"

5/ scroll down to "Eleven Northern"

6/ finally, click on the folder "113-06", there you will see the files that I've created for Capitola, Santa Cruz, and Monterey members:  Mission Activity, Mileage & Expense, and Training Status.

Click open each file, there members can see total hours and total mileage & expenses, and training status. For 2023 reports, please click open report files that start with 2023, and find your total number at year end within that report.

* If the member needs to change/update their personal information on Member's Detail page,  one must also update in the "My Profile" area. It's in the dropdown when you click on the round human icon at top Right.  Information in "My Profile" area can only be changed/updated by the members themselves (or DIRAUX), "My Profile" can not be edited by IS officers.

Food and Supply Ideas

Greetings Shipmates:

Interesting times we are going through, wouldn't you say? I hope all of you are keeping healthy and in touch with each other -- our solidarity and linked relationships need to be maintained. We will get through this, however, in the meantime I have a few thoughts to share with all of you fellow shut-ins.

I received a few ideas from Division members for obtaining needed supplies for those of you that either cannot easily get out and about or if you just choose not to venture too far into the diseased unknown.

-- Instacart is a service that delivers stuff to your door. Participating stores in our area are COSTCO, Safeway, CVS Pharmacy, and Smart and Final. Google "Instacart in my area" for more information. Highly recommended by Bobbi and John.

-- Keith Simmons says that Pacific Grove Market has home deliveries to PG, Pebble Beach and Monterey. Safeway also has home delivery, however orders may get filled in Salinas and a service charge added. After checking the website I noted that Safeway gives you the option of home delivery or pick up at the supermarket site.

-- Let's not forget to keep our pantries/bars stocked with our favorite beverages. Bevmo will take your prepaid order and have it waiting for you at the door.

I still have not found a supply source for toilet paper! Fortunately, the Cobery household is in good shape, however I bet some of you are wishing you had a few old Sears catalogues available.

I recommend the continued patronizing of your local restaurants that are offering take-out. These folks really are taking a hit.

For those of you that are running out of hand sanitizer, I am making my own using 1/4 cup of Aloe Vera and 3/4 cup of at least 60% rubbing alcohol. Please note that this is not recommended by some health officials due to people getting the mixture wrong or using less than 60% alcohol, but I thought I would still pass this along. Washing your hands is still the recommended way to keep things safe.

Let me know if there is anything I can do. If I can't give you an answer, I will find one!

Keep it real and safe, and
Semper Gumby!

THE NEW AUXDATA II SYSTEM

By now all members should have received an email from USCG Auxiliary Member Community with a link to reset your password, please click on the link and set your new password.  This will give you access to the new Auxiliary Data System II, which is a combination of several auxiliary databases into one. Members will still have access to the AuxOfficer (no change to your existing logon information); however, AuxOfficer will not be updated as often.

AUXDATA II Maintenance Windows – All Members

System Updates:

With the completion of the account rollout for the AUXDATA II system, we are now in a regular product enhancement phase of the project. These production updates will happen approximately every three weeks. The production system will remain online during these update periods, but members should recognize that system behavior may be temporarily impacted. Should you experience unexpected system behavior during a maintenance window, please wait until the window is closed and try your activities again prior to reporting a problem.

The first maintenance window will be on Monday June 1st. The remainder of the windows will be on Thursday mornings, every three weeks, from 7am-10am EDT. The first two windows are scheduled for:
•Monday June 1st – 7am-10am EDT
•Thursday June 18th – 7am-10am EDT

This schedule will also be published on the AUXDATA II information page at https://wow.uscgaux.info/content.php?unit=IT-GROUP&category=auxdata-ii

Changes to this schedule will be updated on the above linked page.

Two Factor Authentication

When the AUXDATA II system was launched, the two-factor authentication security function was disabled due to an issue that prevented members from logging in at all. That issue is close to being fixed and per Coast Guard cybersecurity policy, two-factor authentication (2FA) will be re-enabled the week of Monday June 1st. Once a firm date is set, it will be posted on the AUXDATA II information page (see link above). The process for 2FA involves entering a security passcode, obtained either via an email or through the Salesforce authentication application on your mobile device. Instructions can be found on the link at https://wow.uscgaux.info/content.php?unit=IT-GROUP&category=authenticator

Please contact your FSO-IS if you have any questions or need to submit an AUXDATA II help desk ticket.
